Exception Transaction Reporting

Ticketing transactions that cannot be processed electronically through the ARC/IAR are identified as "exception" transactions (e.g. change of agency, non-affiliated IATA's) and are considered an unreported sale and must be settled/reported directly with American Airlines.

Manual exception submissions are reviewed by American Airlines Travel Agency Audit department for final settlement. An applicable $100.00 processing fee per transaction applies.

You must prepare the required documents within the applicable timeframe.  Transactions must be received no later than Tuesday, 11:59 P.M. (Eastern Time) following the close of the Period Ending Date (PED). If Monday or Tuesday is a holiday, you will have until Wednesday, 11:59 P.M. (Eastern Time) to report the sale to American Airlines. 

Any Manual Exception forms that are not complete with all the required information will be returned to the travel agency.

To report the Manual Exception, please provide the following and mail to the address provided below:

  • Print the Exception Transaction Form:
  • Submit the completed Manual Exception form with the following required documents:
      • REN- carrier copy
      • UCC – agent copy
      • MCO – exchange cpn (Form of Payment)
      • MCO  - facsimile  (If the MCO is a residual for the fare difference) (all applicable documents)
      • Copy of the IAR showing the new ticket as “VOID”
      • Manual Exception Processing fee - $100.00 USD paid with an agency check or MCO

Please FEDEX all appropriate documents listed above for the required sale.  Do not send through regular mail as American is not responsible for lost mailings.
