Metal Swap - Operating Carrier Change – Informational Notification
Issued: 12Jun14

This informational notification is to provide the Travel Agency with identifying  and working a Metal Swap – Operating Carrier change for the customer.

Metal Swap:  is the term American & US Airways use when flights operated with one carrier’s metal are replaced with those operated by the other carrier.

  1. AA Prime to AA* codeshare operated by US
  2. AA*codeshare operated by US to AA Prime
  3. US Prime to US* codeshare operated by AA
  4. US*codeshare operated by AA to US Prime

When schedule changes for the affected flights are published, here is how the PNRs you’ve booked will be updated:

  1. The originally-booked AA or AA* flight will change to UN status and a replacement segment added to the itinerary as KK
  2. The originally-booked US or US* flight will change to UN status and a replacement segment added to the itinerary as KK
  3. The OSI Field in the PNR will be updated as follows::
    OSI YY METAL SWAP
OSI YY OPERATING CARRIER CHANGE - PLEASE REISSUE TICKET
  4. It is very important that you change the KK to HK  as soon as possible as this will allow future schedule change information to transmit correctly
  5. Pre-reserved seats, preferred and paid seats, along with special service requests for the customer, will need to be re- assigned by the agency for the “change of operating carrier” on the new flight. Seats are based upon availability.
  6. If the ticket has not been reissued at least 30 days prior to departure, a second message will be updated in the PNR as follows:

SSR ADTK XX KK# METAL SWAP - PLEASE REISSUE TICKET
(XX = GDS Code / # = number of passengers)

If you have established a process for all of your PNRs to fall onto a designated queue when a schedule change takes place, these PNRs will be on that notification queue.

Once you identify the impacted flight(s), simply remove/cancel the UN segment(s), change the KK segments to HK, this is to ensure any other schedule change information is received properly. Reissue the ticket for the new itinerary.

Ticket reissue is required so that the e-ticket coupons can be sent to the new Operating Carrier and match the new flight segment.

Once the reissue of the ticket has been processed, please notify your customer of these metal swap changes to avoid any check-in issues as American and US Airways may operate from different airport terminals.

If the  schedule change results in a change from a non-stop to a connection please refer to our guidelines located on:
Schedule Change-Rule 240/80-Schedule Irregularity

On-Time Departure
Updated: 11Jun14
Issued: 02Jun14

On-time punctuality is a very important customer expectation. In order to provide a more consistent experience across the American Airlines network, we have set a goal to close the jetbridge door at 10 minutes prior to scheduled flight departure. This is to allow our customers time to board, stow their carry-on items, and to be comfortably seated and ready for an on-time flight departure. Please note that our recommended airport check-in and baggage acceptance times have not changed, and other boarding procedures also remain the same.

Travel Agency Policy Update
Issued: 12May14

Today, the American Airlines Group (AAG), the parent of American Airlines and US Airways, released an update to its travel agency policies in the form of a refreshed addendum to the ARC Agency Reporting Agreement and the IATA Passenger Sales Agency Agreement. The ARC Agent Reporting Agreement, the IATA Passenger Sales Agency Agreement and AAG addendum serve as the foundational contractual relationship between the AAG airlines and travel agencies.

AAG periodically reviews and updates its addendum as market conditions warrant, and much has changed since the last update in 2006. In this release, AAG has taken the opportunity to unify the basic terms and conditions of American Airlines and US Airways relationships with travel agencies that own at least one ARC location, as well as provide better guidance on topics which have evolved over the past eight years, like regulatory compliance, display requirements, and data security.

The addendum can be found at the American Airlines Agency Reference website, located on aa.com/agency. As a reminder, your travel agency’s continued use of American Airlines or US Airways ticket stock as of June 12, 2014, will affirm its agreement to the terms of the addendum.

This notice also extends the license granted under the ARC Addendum to US marks, including US AIRWAYS, DIVIDEND MILES and the US Airways trade dress solely for the purpose of identifying you as an authorized agent of US Airways.

We recommend that you refer to the Agency Reference website frequently for policy updates. For inquiries or more information, please contact your account manager.

Thank you for your continued support.

Multiple Tickets – Same Passenger/Same Itinerary
Updated: 16Apr14

When issuing a AA/001 ticket, if the travel agent experiences a delay in a ticket number being generated, please do not enter multiple times as this will generate more than one ticket for the passenger. One of the tickets will be a “ghost” ticket and will not be indicated as a reported sale. Please verify the Passenger Name Record to confirm that multiple ticket numbers did not generate for the passenger. If more than one ticket number was issued in error, the agency is responsible to properly VOID the first VCR (ghost ticket), so that only the last ticket entered is the usable ticket. Effective May 1, 2014, a debit memo will be issued for agency multiple tickets that have not been properly voided due to this issue.

High Priority - Travel Agency Bookings Containing US*/AA Codeshare booked in Sabre GDS
Issued: 11Feb14 Update: 1930ct/10Mar14

It is still being reported there are a few US*/AA (American Airlines operated) codeshare bookings created by Travel Agencies using Sabre (1S) where the "Limited Changes PNR" or "Operational PNR" is not being created in the American Airlines reservations system. While American and US Airways are working to correct the problem:

  • If you have a PNR with a US*/AA codeshare segment and are unable to assign seats, meals, special services you will need to contact AA Reservations 1-800-433-7300 to have them create a Limited Change/Operational PNR so you will be able to update your reservation with these requests.
  • If you have a PNR with US*/AA codeshare flights and the PNR has been updated with an American prime duplicate flight segment, please do not cancel the AA Prime flight segment as this assures the customer has confirmed space on American. This is a system generated segment which is only sent because the limited changes PNR has not been created. There will be no debit memos issued for holding duplicate space and SAGE will not cancel the duplicate segments.
  • To ensure your customer will not experience any issues at the Airline Ticket Counter or Self –Service Machine (SSM) when checking in, it is imperative that your customer has in their possession the Itin/Receipt and most current valid ticket number for the itinerary they are traveling on.

Again, this issue only impacts Travel Agency US*/AA bookings created in Sabre, no other GDS applications are affected by this system transmission error. If you have any questions, please contact us at Agency.Relations@aa.com.

High Priority - Travel Agency Bookings Containing US*/AA Codeshare booked in Sabre GDS
Issued: 11Feb14

It has been reported there are some US*/AA (American Airlines operated) codeshare bookings created by Travel Agencies using Sabre (1W) where the "Limited Changes PNR" or "Operational PNR" is not being created in the American Airlines reservations system. When this happens, the customer is not confirmed on the American Airlines flight segment, although the Sabre agency booking appears to be holding confirmed space.

We are working on a resolution to address this issue. In the meantime, please be directed by the below:

  • If you have a PNR with a US*/AA codeshare segment and are unable to assign seats, meals, special services, it may be due to no limited changes PNR being created in the American Airlines reservations system.  Please queue to HDQ215/11 and we will review the PNR to ensure the customer has a confirmed reservation.

Again, this issue only impacts Travel Agency US*/AA bookings created in Sabre, no other GDS applications are affected by this system transmission error. If you have any questions, please contact us at Agency.Relations@aa.com.

AA Discontinues Codeshare on AA*/9K on Caribbean Only
Issued: 03Feb14

As of March 1, American Airlines will no longer codeshare on Cape Air flights to the Caribbean, including travel from San Juan, Puerto Rico (SJU) to Anguilla (AXA), Mayaguez, Puerto Rico (MAZ), Nevis (NEV), Tortola, British Virgin Islands (EIS) and Vieques, Puerto Rico (VQS). We are working with Cape Air to ensure that our customers with codeshare travel already booked on these routes will be able to keep their reservations, and will provide updates should there be any changes.

American will maintain its codeshare relationship with Cape Air on flights out of St. Louis, Mo. (STL) to Quincy, Ill., Cape Girardeau, Mo., Marion/Herrin, Ill., Ft. Leonard Wood, Mo., and Kirksville, Mo. In addition, customers will continue to have access to Tortola and Vieques through American's codeshare with Seaborne, and can reach Nevis via direct service to St. Kitt's Robert L. Bradshaw International Airport (SKB) from American's hub in Miami (MIA).

American constantly evaluates its overall network and codeshare partnerships to ensure we are meeting customer demand and as a result, we have determined to discontinue our codeshare with Cape Air in the Caribbean. We value our relationship with Cape Air and look forward to continuing to codeshare with them out of St. Louis.
